Privacy Policy

1. What we collect

We collect data in three ways:

• Account data you give us: name, email, password hash, and (if you subscribe) billing details processed by our payment partner.
• Usage data the Service generates: the YouTube video IDs you request, the cached transcript text we return, API key identifiers, request timestamps, response status, IP address, and user-agent strings. We use this to operate the Service, detect abuse, and bill correctly.
• Support correspondence: any messages, screenshots, or attachments you send to our support address.

2. How we use it

We use your data to:

• Run the Service, return transcripts, and bill you correctly.
• Improve performance, reliability, and security.
• Detect, investigate, and stop abuse, fraud, or unauthorized access.
• Comply with legal obligations (tax records, lawful requests, accounting).
• Send transactional emails about your account or billing.

We do not sell your personal data, and we do not use your transcripts to train AI models.

3. YouTube and Google data

The Service fetches publicly available caption tracks for YouTube videos using server-side requests. We do not use your YouTube or Google login, we do not request OAuth permissions on your behalf, and your IP is not sent to YouTube. Outbound requests originate from our infrastructure or a proxy provider. We are not affiliated with YouTube, LLC or Google LLC.

4. Where data lives, and how long

We run on cloud infrastructure with primary regions in the European Union and the United States. We retain data only as long as it is useful for the purposes above:

• Cached transcripts: stored to make repeat lookups instant; we may evict them at any time.
• API request logs: retained for up to 90 days for debugging, abuse detection, and billing reconciliation.
• Account records: retained while your account is active, plus up to 7 years afterwards for tax, accounting, and legal-defense purposes.
• Aggregated, non-identifying metrics: retained indefinitely.

When you close your account, we delete personal data within 30 days, except where we are required to retain it by law.

5. Who we share data with

We share data with the third-party service providers below. Each is bound by a data-processing agreement that restricts use of your data to the purpose listed.

We will only disclose data to a government or law-enforcement agency when legally required and, where lawful, after notifying you.

6. Your rights

Depending on where you live, you may have the right to access, correct, export, or delete the personal data we hold about you, and to restrict or object to certain processing. Users in the European Economic Area and the United Kingdom have rights under the GDPR, including the right to lodge a complaint with a supervisory authority. To exercise these rights, contact contact@getyoutubetranscriber.com. We may verify your identity before acting, and we will respond within 30 days.

7. Cookies and similar technologies

We use a small number of first-party cookies for session management and to remember your locale preference. Third-party scripts (PostHog for product analytics, our error-monitoring provider) set their own cookies for the purposes listed in Section 5. We do not run advertising cookies and we do not allow third parties to track you across other sites for advertising purposes.

8. Children

The Service is not directed to people under 16, and we do not knowingly collect personal data from anyone in that age group. If you believe a child has provided us with personal data, contact us so we can remove it.

9. Changes to this policy

We may update this Privacy Policy from time to time. If a change is material, we will notify registered users by email at least 14 days before it takes effect. The “Last updated” date at the top of the page always reflects the current version.
